Management
Consulting Services:
- Advise Event Chairs
on all aspects of the conference or meeting
- Attend all conference
meetings
- Record and produce
minutes
- Provide infrastructure
to Planning or Host Committee
- Assist with the development
and implementation of a critical path
- Produce a final report
Budget Development
and Management:
- Develop a budget
- Provide cash flow
projections and financial summaries
- Deposit conference
monies on a timely basis
- Control expenditures
- Invoicing & registration
services
Sponsorship Development:
- Work with Host Committee
to determine and identify key Industry support
- Determine levels of
support required for conference and support materials,
ie: delegate kits, etc.
- Develop a sponsorship
package
Work with Committee on securing support
- Manage all sponsorship
fulfillment issues
Promotion:
- Assist with the development
of marketing and promotional materials, including
event logos.
- Arrange for translation
of materials, if required
- Develop event based
"tourism package"
Provide support for any web-based promotion
- Maintain a database
of inquiries
Coordinate media coverage, if desired
- Program Coordination/Speaker
& Session Chairs
Liaison:
- Develop program format
- Maintain a list of
potential speakers and presentation topics
- Arrange the "Call
for Abstracts"
- Collect and maintain
all abstracts, speaker bios
- Arrange Speakers'
travel and accommodations
- Organize all AV and
speaker requirements
- Assist with development
of the final program
Logistics:
- Act as Facility Liaison
& Coordinator; site selection, license agreement,
hotel proposals, off-site functions, support services,
rooms and move in & move out, etc.
- Liaise with the selected
site with respect to all operational aspects, including
meals, entertainment, etc.
- Arrange all meeting
rooms & conference office
- Arrange Audio Visual
and Interpretation
- Coordinate site enhancement
& signage, including design of signage
- Create a Poster Area
- Arrange and staff
an information booth for delegates
Volunteer & Staff
Coordination:
- Recruit, if required,
volunteers and staff for the event
- Provide detailed instructions
- Provide training,
if required
- Coordinate scheduling
and timing of all activities
Delegate services:
- Negotiate and select
the meeting hotels and preferred airline/travel agency
- Communicate travel
services to potential delegates
- Arrange ground transportation,
if required
Registration:
- Develop registration
package
- Develop a pricing
strategy for delegates, exhibitors and others
- Determine registration
process (electronic, if possible)
- Coordinate and process
all registrations
- Arrange badge printing
& assembly
- Arrange On Site registration
Continuing Medical
Education (CME's):
- Design and send out
invitation
- Manage RSVPs
- Book venue and AV
requirements
- Select menu
- Coordinate Speaker
requirements
